The CMS Email Services Transition is happening over Labor Day weekend, Friday, September 2, through Tuesday, September 6, 2022. Therefore, Outlook will not be accessible during this transition period. Starting September 6, CMS Microsoft Outlook services, including email, calendars, and contacts, will be accessed through a new, centralized, CMS-managed email tenant. An email tenant is a digital space where we store and manage all Microsoft 365 email and services. CMS currently shares an email tenant with the Department of Health and Human Services. As a CMS contractor who has access to Outlook, what do I need to know? You must exit CMS Outlook by Friday, September 2, 8:00 p.m., ET. Do not open CMS Outlook between late Friday, September 2, and early Tuesday, September 6. Note that certain items, including encrypted emails, Outlook categories, customized font styling, Outlook Quicksteps, and Outlook Rules, wont transition. Follow the steps below based on the way you access your CMS email. Note: Encrypted emails arent expected to migrate in the CMS Email Services Transition. Some may, but there is no way to determine, in advance, which will. To be sure you have the encrypted emails you need, do a search for all your encrypted emails pre-transition, and try to save the ones you need. If they dont enable saving, you will need to contact the senders, and ask them to resend the emails to you after Tuesday, September 6, 2022. Contractors who access their CMS email solely through Outlook Web Access (OWA): There are no additional pre- or post-transition steps required for you to access your CMS email. Questions? Contact your organization IT team. As a CMS contractor who does not have access to Outlook, what do I need to know? If you send an email to CMS during this time, you will receive an error message that the CMS users account does not exist and your email will not be received. We are asking stakeholders to hold emails during this time period. We apologize for any inconvenience. CMS systems, including the MCD, and the MCD Archive, will not be able to send or receive emails during this time either. Anticipated impacts: CMS and the Help Desk may not receive emails that a public user might submit for feedback. "Basket" emails will be delayed or possibly undelivered. |
